Agency scorecards – how do you measure up?

You’ve completed the recordkeeping survey and now you want to find out how your agency performed? Well now you can, thanks to a new tool that has been developed to provide your agency with its own scorecard.

What’s a scorecard?

Agency scorecards are a visual summary of your responses to the 2014-15 Recordkeeping Survey. They provide a comparison of your agency’s responses to the survey questions against responses from other agencies in the same sector (e.g. departments, local governments) and present them in a series of graphs, like the one in the image below.


The scorecard doesn’t reflect all the questions in the survey, just the ones relating to Information Standard 40: Recordkeeping and Information Standard 31: Retention and Disposal of Public Records. Because the questions are based on the principles in the above standards, performance is measured on the level of compliance with the relevant principle. So based on your agency’s response to each question, your agency scorecard will give you one of the following ratings:

  • compliant
  • working towards compliance
  • opportunity for improvement, or
  • unable to determine level of compliance.

Given the survey questions have been only slightly altered since the initial survey was conducted in 2009, the recordkeeping data that has been collected has allowed us to identify trends. However, we are looking at making some changes to our next survey including reviewing the type and volume of questions.

The value of scorecards

Organisations generally use scorecards so that they can measure performance and find out if their procedures and practices are working effectively. Scorecards can help organisations formulate plans, keep track of how they are progressing, and focus their efforts into areas that need it the most.

The recordkeeping survey scorecard works in the same way. It provides a visual snapshot of your recordkeeping performance based on your answers to the questions, highlighting your achievements and improvements, as well as identifying areas that may need further attention or adjustment.

Once Phase 2 of the survey has closed, the survey data will be analysed. This could take a few months given the number of public authorities that are completing the survey but we’ll keep you updated on how things are progressing.

    1. Hi Angie, when the scorecards become available we will update everyone on Yammer, Twitter and this blog. Keep in mind it may take a few months before they are ready. Once the survey has closed, the survey responses will be collated and analysed by the Government statistician. We will keep you updated as it progresses. Thanks Andrea
